Privacy Policy

Optima Integrations provides AI automation and business systems integration services. This policy explains how we handle information when businesses contact us, use our services, or authorize integrations with business platforms.

Optima Integrations is a Costa Rica-based technology services provider. Business inquiries and privacy requests can be sent to gabrielblanco@optimaintegrations.onmicrosoft.com.

Information we process

Depending on the project, we may process business contact details, operational records, message metadata, customer conversation content supplied by an authorized business, documents, workflow status data, and technical logs needed to operate and secure our services.

How we use information

We use information to provide requested services, configure integrations, automate authorized workflows, troubleshoot issues, protect systems against abuse, comply with platform policies, and communicate with our business customers.

WhatsApp Business and messaging data

When a business authorizes a WhatsApp Business integration, we process messaging data only for the approved business purpose, such as routing messages, classifying workflow state, sending approved templates, or supporting human follow-up. We do not sell messaging data.

We use WhatsApp data only for conversations and workflows that the business has authorized. Examples include responding to customer inquiries, sending permitted business notifications, managing follow-up reminders, and helping staff review conversation status.

Opt-in and authorized communication

Messaging workflows must be based on an appropriate customer relationship, user request, or other valid authorization required by the messaging platform. We do not design systems for spam, unauthorized scraping, or unsolicited bulk messaging.

Service providers

We may use trusted cloud and software providers for hosting, storage, security, analytics, email, AI processing, and business platform connectivity. These providers are used only as needed to deliver and maintain the service.

Retention

We keep information only as long as needed for the business purpose, contractual obligation, security requirement, or legal obligation. Customers may request deletion or correction of data subject to operational and legal constraints.

Data deletion requests

Businesses and end users may request deletion of personal information handled by Optima Integrations by emailing us. We will review the request and delete or anonymize eligible information unless retention is required for security, legal, billing, or operational reasons.

Security

We apply reasonable administrative and technical safeguards, including access controls, secure credential handling, webhook verification where available, logging controls, and least-privilege practices for production systems.
